Account settings — where every setting lives

Most "I can't find that setting" questions have the same answer: the setting exists, but it lives on the other level. Rentalbuddy has account settings (one set of values for your whole company) and location settings (values for a single location), and several settings exist on both levels with a switch that decides which one is used.
This page maps the settings area, then explains that switch.
The two places settings live

The fastest way to tell which one you are looking at: Settings opens a page with the tabs Account, User Profile, Language and so on. A location opens a page with the location's name and the tabs Location settings, Book button, Customer flow, Booking experience, Open dates and Website. If you see Open dates, you are inside one location.
The tabs under Settings
They appear in this order.
Account
Two cards.
Company Information — Legal company name, Organization Number, address, Zip Code, City, Country, Time display and Domain name.
Time display is worth knowing about: its own help text says it controls "How dates and times are shown in the booking plugin, admin, and customer emails." One setting, three places.
Account Information — the people side:
- Contact Person Name and Phone Number.
- Account Contact E-mail. You can add several addresses with Add contact email (up to ten). The help text reads: "Add one or more addresses. Booking confirmation copies are sent to each address when enabled."
- The switch Send booking confirmation email copies to Account Contact E-mail. This is what decides whether you and your colleagues get a copy of every booking confirmation. If your inbox is filling up with booking copies, turn this off. If nobody at your company is getting them, turn it on and check the address list above it.
- Logo (Image URL) — the logo used in emails.
There is also an Analytics section with GA4 Measurement ID, which is optional and only relevant if you use Google Analytics.
User Profile
Your own login, not the company's: Email, Name, Phone Number, and a Change password switch that reveals Password and Repeat Password.
Changing this changes your user, not the account. Other people who log in to the same account have their own profile.
Language
Which languages customers see during booking. The heading is Languages for customers, and the intro text explains that it controls language options across products, locations and all customer-facing content, with English always shown.
This tab also holds Default booking languages (account) and Use account languages for locations, where you tick locations that should follow the account's language list instead of their own. See the override section below.
Note the distinction the screen itself makes: this is separate from the language you pick in the navigation bar, which only changes the admin interface for you.
Customer flow
The booking steps your customers go through — checkout fields, terms text, the return page, the unlock page. This tab is your account's default flow.
At the bottom there is a card titled Locations that use location-specific settings for Customer flow. Any location listed there ignores everything on this tab. That card is the single fastest way to answer "why doesn't my change show up on that location?"
Email Settings
All automated emails to customers, split into Default emails (described in the admin as "Standardized messages that are partially pre-created by Rentalbuddy") and Your emails ("Create your own automated messages that are sent based on different events in the system").
Email templates exist only at account level. Locations do not have an email tab. You still get per-location emails, but you do it by choosing locations on each email — see Edit your confirmation email and set up reminders.
Payments
Online payments shows whether Stripe is connected. Checkout settings holds Disable Stripe Payments, Payment option and Currency.
Currency can only be changed while the account has no active or future bookings on any location; if it is locked, bookings already exist.

tax settings
Your VAT rates. Add New Tax, Generate default taxes for your country, and Sync from Stripe to pull in rates created in the Stripe Dashboard. Each rate has a country, a percentage and Inclusive or Exclusive.
You must be connected to Stripe before you can create or manage tax rates. Tax rates are account-level; you then pick which rate applies on each product.
Integrations
Two blocks. Payments — "Connect Stripe to accept card payments and receive payouts for your rentals." Smart locks — "Connect Igloohome to control smart lock access for your bookings and guests."
Billing
Your own Rentalbuddy subscription, not your customers' payments: Subscription Plan, Licenses, Locks, Billing information and the Billing Portal.
The address field here is Email address for receipts & invoices, and its help text is explicit: "Email for Rentalbuddy subscription invoices and receipts. Not used for guest booking confirmations." Two different email addresses for two different things — this is a common mix-up.
Account level vs location level: how the override works
Some settings exist on both levels. In every case the pattern is the same:
- You set a default on the account.
- Each location has a switch: use the account's version, or use its own.
- The location's switch decides which one the customer actually gets. The location wins whenever its switch is on.
Here is where each switch is.
Customer flow
Open Locations, click the location, open the Customer flow tab. There is a switch labelled Location-specific.
- Switch off: the screen says "This location uses the customer flow from your account settings." and links you to the account's flow.
- Switch on: the screen says "This location uses its own customer flow settings." and the full set of fields appears for editing.
From the other direction, Settings → Customer flow lists every location currently on its own settings in the Locations that use location-specific settings for Customer flow card.
Booking languages
Open the location, stay on the Location settings tab, find the Language & Timezone card. The switch is Use location-specific booking languages, with the hint "Turn off to use the account's default booking languages for this location."
When it is off, the location shows the line "This location uses the account's default booking languages:" followed by the list.
You can also flip this for many locations at once from Settings → Language, under Use account languages for locations. Its own hint explains what happens to a location's old list: "Their previous list is kept if you switch them back to location-specific languages."
Book button appearance
Open the location, open the Book button tab. The button styling section has Customize for this location; leave it off and the location uses your account's button style.
What has no location version at all
These are account-wide, full stop. Changing them changes every location:
- Company information, logo and time display
- Account contact emails and booking confirmation copies
- Payments, currency and Stripe connection
- Tax rates
- Email templates
- Integrations
- Billing and subscription
What only exists per location
You will not find these under Settings at all — open the location instead:
- Address, Location Email and Location Phone (under Location & Contact Details)
- Timezone
- Opening hours and open dates
- The website address the booking button lives on
Quick answers
"I changed the checkout text and one location still shows the old text." That location has Location-specific switched on for Customer flow. Either edit it there, or switch it off to fall back to the account version.
"The language I enabled isn't offered at one location." That location has Use location-specific booking languages switched on. Turn it off, or add the language to that location's own list.
"Everyone in the office gets an email for every booking." Settings → Account → turn off Send booking confirmation email copies to Account Contact E-mail., or remove addresses from Account Contact E-mail.
"Where do I change the address on our invoices from Rentalbuddy?" The Billing tab, not the Account tab. The address for booking-related things is the location's address.
"I don't see all these tabs." Which tabs you see depends on your user's role and your account type. If you only see User Profile, your user has restricted access — see Users, roles and logging in.
