Add-ons, accessories and mandatory fees

9 min read

There is no separate "add-ons" page, which is why add-ons are hard to find. An add-on is an ordinary product on the Products page, created with one of two product types:

  • Rental Accessory: a physical extra with stock, priced per day. Helmets, dry bags, life jackets, child seats, a picnic basket.
  • Insurance: a charge rather than a thing, with no stock and no image. Damage cover, a cleaning fee, a booking fee, a delivery charge. This is also the type you use for a fee the customer cannot remove.

Both are offered on the Addons step of the booking flow, after the customer has chosen rental products.

Create an accessory

  1. Pick the location in the Location picker at the top of the left menu. Accessories belong to one location, like every product.
  2. Open Products and press Add new product.
  3. In Choose a product type, pick Rental Accessory and press Continue. The type cannot be changed after the first save (until then, Change type lets you pick again).
  4. Fill in Art. No, Short name and Sort Order in booking view (lowest number has the highest priority).
  5. In Product Names & Descriptions, fill in Product name (English is required) and Description in the languages your booking flow shows.
  6. Upload a Product Image (optional, but it is what customers see on the card).
  7. Set Number of units: how many you actually have.
  8. Under Pricing, set the price (see below) and pick the Taxes it charges. Taxes can be left empty, but then no tax is charged on the accessory.
  9. Press Save.

To offer the same accessory at another location, copy it there with Copy (see the product guide) and link it to that location's rental products again.

How accessory prices work

The accessory Pricing card is small on purpose. Same price for high and low season is ticked by default and there is one field, Price per unit. Under it the card says:

"Prices are set as full day price."

So the number you type is a price per day, not per booking. The customer pays your price times the number of started days of the rental:

Rental length Days charged
2 hours 1
24 hours 1
25 hours 2
3 days 3
3 days 1 hour 4

A 60 kr helmet on a three-day rental costs 180 kr. There are no hour prices, tiers or weekday multipliers for accessories. Prices are saved with your currency's decimals (whole amounts for currencies without decimals, such as ISK). For a charge that does not grow with the rental length, use an Insurance product with Same price no matter how many days instead (below).

Untick Same price for high and low season to get High Season and Low Season tabs with a price each. Which one a booking pays depends on the time period on the location's Open dates tab that the booking falls in, not on the product.

An accessory cannot be free. The price must be above zero, on both seasons if you separate them; otherwise saving says "Please set high and low season prices for your product" and the empty field says "Please input high season price" or "Please input low season price".

Stock for accessories

Number of units is the accessory's stock: availability is that number minus what is already booked for the same time, just like a rental product at a staffed location. An accessory is never tied to a lock, so at a self-service location its stock is still this number. At 0 units, or when every unit is booked, customers see Fully booked on its card. Unlike a rental product at a staffed location, an accessory at 0 is not hidden: it stays on the Addons step as Fully booked.

  1. Open the rental product (not the accessory).
  2. In the Product Details card, open Related Accessories and tick the accessories that belong with it. Only accessories from the same location are listed.
  3. Press Save.

The chosen accessories show as chips. The link is stored on the rental product, so one accessory can be linked to several rental products; repeat on each product that should offer it.

Copying a rental product to another location does not keep its Related Accessories: "Related accessories are not carried over. Link them again at the new location."

What the customer sees on the Addons step

The booking flow gets an Addons step (between Products and Checkout) as soon as the location has at least one accessory or one insurance the customer can choose. Without any, the customer goes straight from products to checkout. The customer reaches it with Go to Addons.

The step shows, top to bottom:

  1. Insurance: every optional insurance at the location, with its description and price and an Add button that turns into Added (press it again to remove it). An insurance is had or not had; there is no quantity.
  2. One block per rental product in the basket that has Related Accessories, headed with that product's name and listing the accessories you linked.
  3. Accessories: every accessory at the location, linked or not.

So an accessory you never link to anything is still sold, in the general Accessories list. Related Accessories decides the grouping under each product, not whether the accessory is offered.

Each accessory card has your image, name, description and the price for the chosen rental length, with Add and then a + / − quantity control that stops at the number available. Sold-out accessories show Fully booked. Go to checkout continues. In the checkout summary the customer can still change the quantity or remove the line with the bin icon.

Events have no Addons step: accessories and insurance are not offered with event bookings.

Add a fee or insurance

  1. On Products, press Add new product, pick Insurance and press Continue.
  2. Give it the name customers should see on their order and receipt. It reads exactly as you type it, so call it "Cleaning fee" or "Damage waiver" if that is what it is.
  3. Set the price (Price per unit, or High Season / Low Season if you untick Same price for high and low season) and pick the Taxes. As for accessories, the price must be above zero.
  4. Choose How booking length affects insurance price:
    • Price applies per booking day: charged per started day, like an accessory.
    • Same price no matter how many days: one price for the whole booking, however long.
  5. Choose How booking items affect insurance price:
    • Price applies for each item in the booking*: multiplied by the number of rental products in the booking ("* Rental Accessory doesn't count toward this.").
    • Same price no matter how many items: charged once, whatever the number of items.
  6. Tick Forcing fee if customers must not be able to remove it (see the next section).
  7. Press Save.

The line under the price tells you what your two choices add up to:

Your choices The card says
Per day, per item "The price increases for each booking day and each item in the booking."
Same price for any length, per item "Each item in the booking adds to the price, accessories excluded."
Per day, same price for any number of items "Price scales by booking days only."
Same price for any length and any number of items "One price for the whole booking—extra days or more items do not change it."

The last combination is the true one-off fee: "a fixed fee per booking, not per day".

An Insurance product has no image and no Number of units; it is a charge, not something you hold in stock.

Make a fee mandatory: Forcing fee

Accessories cannot be made mandatory. A Rental Accessory has no "required" or "included" setting. The supported way to add a compulsory charge is an Insurance product with Forcing fee ticked. Its tooltip: "When this is on, customers can't remove this insurance from the booking—it's always included."

A forcing fee behaves differently from other add-ons:

  • It is added to the customer's basket automatically once they have picked their dates.
  • It is not listed on the Addons step, and on its own it does not make the step appear.
  • In the checkout summary its line shows a Required label instead of a quantity, and has no bin icon.

A "choose one of these" group (for example cleaning or self-cleaning) is not possible: make the fee mandatory, or offer the options as separate optional insurances.

Which type to use

You want Use
A physical extra with limited stock, priced per day Rental Accessory
An optional extra the customer can take or leave Rental Accessory, or an Insurance without Forcing fee
A one-off fee for the whole booking Insurance with Same price no matter how many days and Same price no matter how many items
A fee per rented item Insurance with Price applies for each item in the booking*
A fee the customer cannot remove Insurance with Forcing fee

If an add-on does not show up

  1. Is it on the same location as the rental being booked? Add-ons are per location.
  2. For an accessory: is Number of units above 0, and not all booked for those times?
  3. Is the price set on both seasons, if you use separate seasons?
  4. For an insurance: is Forcing fee ticked? Then it never appears on the Addons step; it is added to the basket instead.
  5. Is the customer booking an event? Events have no add-ons.

Common questions

Where do I create add-ons? On Products, with Add new product: pick Rental Accessory for an extra with stock, or Insurance for a fee.

Can I make an add-on mandatory? Not an accessory. Create an Insurance product and tick Forcing fee; it is added to every booking and cannot be removed.

The insurance is charged per day, but I want one price per booking. Open the insurance and choose Same price no matter how many days (and Same price no matter how many items if it should not multiply with the number of rentals).

Why can't I set the add-on price to 0? Accessory and insurance prices must be above zero to save.

I linked an accessory to one product, but it shows for everything. Every accessory is also listed in the general Accessories list on the Addons step. Related Accessories only adds it under the linked product as well.

Can customers add accessories to an event booking? No. Events have no Addons step.

Why can't I delete an accessory or a fee? A product with upcoming bookings can't be deleted; the dialog lists the bookings. Delete it once they are over (see the product guide).

Why is the helmet charged three times? Accessory prices are per started day, so a three-day rental pays the price three times.
