Read the Booking Management timeline

Booking Management is the operational picture of a day: which unit is out, which is coming back, and what is still waiting to be collected. Bookings answers "where is that booking?" — this screen answers "what is happening right now?".

Open it from Booking Management in the menu.

The layout, top to bottom

  1. A sticky bar with the date controls.
  2. The timeline itself, with one row per lock.
  3. Underneath, a list of the same bookings with a status dropdown on every row.

Moving between dates

The sticky bar at the top holds everything to do with time:

  • Day / Week — the two view modes. Day shows one calendar day with hour columns; Week shows a whole Monday-to-Sunday week.
  • The arrow buttons on either side of the date field step one day back or forward — or one whole week when you are in Week view.
  • The date field (Select day, or Select week in week view) opens a calendar so you can jump straight to a date.
  • Today returns to the current date.

If the bar takes too much room, the small chevron on the right collapses it — its tooltip reads Hide date options and Show date options. Collapsed, it keeps the arrows and the date field.

In Week view, and on a phone, you also get Zoom calendar. Zoom does not change what is shown — the whole day or week is always on screen — it only stretches the hours wider so short bookings are easier to hit, and gives the timeline its own horizontal scrollbar.

The rows

The grey headline rows are your stations. Under each station comes one row per lock, labelled like this:

Locker 4: Kayak — the lock's number, then the short name of the product assigned to that lock.

That is the key to the whole screen: a row is a physical unit, not a product type. Two kayaks are two rows. Storage locks are not shown here.

Locks appear in number order within their station. A lock with no product assigned still gets a row, but nothing can be dropped on it.

The bars

Each bar is one product line of one booking, sitting on the lock it is assigned to, spanning its start and end time. The label on it reads the customer's name and the booking number.

What is not on the timeline is as important:

  • Bookings whose payment is still Pending are left out.
  • Cancelled product lines are left out.
  • A line that has no lock assigned to it has nowhere to be drawn, so it does not appear.

If a booking you expect is missing, one of those three is nearly always the reason.

The colours

The bar colour is the booking's pickup status — the same states as the dropdown described in Pickup, return and booking statuses. Two of them share a look:

Look Meaning
White with a dark outline Ready for pickup, or Not collected - pre-flow required — not collected yet
Solid blue Picked up — the unit is out
Solid green Returned — the unit is back and free again

When you select a Returned bar it turns grey and shows a small "no entry" icon, because it cannot be moved. A selected bar that can be moved shows a move icon instead.

The orange line

A thick orange vertical line marks the current time at that location, and its tooltip reads Current time at this location. It only appears when you are looking at a date that includes today — and it follows the location's own timezone, not your computer's, which matters if you administer a location in another country.

Opening a booking from the timeline

Double-click a bar (or tap it twice on a phone) to open that booking.

A single click only selects the bar, which is the first half of moving it. Click it again, or click an empty part of the timeline, to deselect.

Moving a booking to another lock

This is the screen's most useful trick: dragging a bar from one lock row to another reassigns the physical unit without touching the times or the price. The same operation is described in Edit, move or cancel a booking, along with when to prefer the per-line Edit Lock dropdown on the booking instead.

  1. Click the booking once to select it.
  2. Drag it straight up or down onto another lock's row. You cannot drag it sideways — the times are locked while you drag.
  3. Let go.

While a booking is selected, the rows tell you in advance what a drop would do. Hover a row to read its tooltip:

While you drag over a valid row, the bookings that would move with you are shown faintly on the rows they would end up on, so you can see the swap before committing to it.

When a drop is rejected

Nothing changes and a red message appears above or below the timeline:

  • Returned bookings cannot be moved to another lock. — a booking already marked returned is fixed where it is. You can still move a different booking into that lock for the same period.
  • This change can't be made: more than one booking overlaps this lock at this time. Please contact support if you need help.
  • Cannot move between different products — the overlapping booking on the target lock is for another product.

The wrong-product and no-product cases give you the same wording as their row tooltip.

When it works

You briefly see Updating lock assignments… while it saves, then Locks updated.

If the customer might already have their unlock page open, a second line is added:

"Customers who already have this booking open will see the new codes refresh once a minute. If they switch a browser tab and back — or lock and unlock their phone — it should update within a few seconds."

That is worth knowing before you move a booking for someone standing at the station: they will get a new code for the new lock, and it takes up to a minute to appear.

If you cannot drag at all

Dragging is only available to users who can edit. Read-only users can look at the timeline and open bookings, but bars will not move.

On a computer you also get a Using the timeline panel above the timeline repeating the essentials; on a narrow screen the same text sits behind a help icon.

The booking list underneath

Below the timeline is the same day's bookings as a list you can act on without opening anything.

View bookings filters it:

  • Show all
  • Check ins today — bookings that start on the selected date
  • Check outs today — bookings that end on the selected date
  • No check-in/out today — bookings that are running but neither start nor end today

The list shows Status, Name, Order No., Start, End, Check in, Check out, Payment status and Products. Click a row to open the booking.

Status is a live dropdown — changing it there marks the booking picked up or returned immediately, without opening it. That is the fastest way to work through a morning's handovers. What each state does is covered in Pickup, return and booking statuses.

Note that Start and End are the booked times, while Check in and Check out are the times somebody actually collected and returned. Cancelled bookings, and bookings with a pending or expired payment, are left out of this list.

When you have an event that day

If a bookable event occasion falls on the selected date, an extra toggle appears with Inventory and Event Overview. Inventory is the timeline described above; Event Overview shows the event bookings for that day instead. With no event on the date, the toggle is not shown at all.
